Insurance Company Maintenance

Summary

All information for insurance companies is maintained on this screen.

Customers may be assigned an insurance company . When an insurance company is assigned to a customer, the insurance company name will be displayed on the Customer Information screen of estimates for that customer. You will be able to lookup and assign an insurance company and insurance contact for estimates.

 

Detail Instructions

This screen contains detail information about an insurance company and contacts at that insurance company. You may enter as many contacts as you need for each insurance company. There are five actions you can take on this screen.

  1. Click on the Delete button to remove the insurance company displayed on the screen. You will be prompted to confirm you want to delete the record. Be careful, this will remove this insurance company from your database, including all contacts.
  2. Click on the Clear button to clear all fields on the screen. This will let you enter another insurance company if you are adding information for multiple insurance companies.
  3. Click on the Save button to save all information on the screen. Be sure to save before clearing if you want to enter information for another insurance company.
  4. Leave the screen by clicking on the AdjustRite logo or some other function from one of the drop down menus. The current screen of insurance company information will not be saved if you do this without first clicking on the Save button.
  5. Enter or change insurance company information, which includes adding, changing or removing contacts.

To enter detail information on this screen you will move through the information boxes by pressing the Tab key when you are finished typing in each box. You can also click inside any box with your mouse to move directly to that box. All fields are optional unless noted with a red "*" that they are required.

  • Insurance Company : Enter the name of this insurance company. This field is required, so you may not save the information on this screen until something has been entered in the Insurance Company field.
  • Adjuster: Enter the name of the primary adjuster for this insurance company.
  • Phone: Enter the area code, prefix and phone number. The program will automatically move from the first box to the second after you enter the first three digits and then again after the next three digits. Press Tab after entering the last four digits to move to the Alternate Phone field.
  • Alternate Phone: This functions the same as all phone numbers and can be used for a second line at the insurance company or for the mobile number of the adjuster. There is also a separate phone field for each contact.
  • Fax: Enter the fax number using the same rules as for the phone.
  • Address 1: Enter the street address.
  • Address 2: Enter a second address line if you have one, such as a suite #.
  • City, State or Province and Postal (Zip) code:
    • Enter the name of the city for this fleet
    • Click on the down arrow and then click on the state or Canadian province
    • Enter the Postal (Zip) Code
  • Notes: This does not print on estimates, but is for your own notes, and many contain any information you want to save for this insurance company.

 

  • Contact(s): This section lets you maintain contacts for each insurance company. The Contact(s) grid will be empty when you first add each insurance company, but the grid will list all contacts you have added to each insurance company. Contacts may be added, change and removed, using the following:
    • Add Contact : Clicking on this button will pop up the Contact Maintenance window. Fill in the information for each contact and click on the Save button to save the contact information and close the Contract Maintenance window. You should always enter at least a First and a Last name. Each contact added will list in the Contact(s) grid.
    • Remove Contact : Click on a contact in the Contact(s) grid and click on the Remove Contact button. Click on the "OK" button on the pop confirmation box to confirm you want to remove the contact.
    • Change a contact by double clicking on the name in the Contact(s) grid. The Contact Maintenance window will pop up. Change any contact information and click on the Save button on the Contact Maintenance window.
