Fleet Maintenance

Summary

All information for fleets is maintained on this screen.

Units may be assigned to a fleet location. When a unit is assigned to a fleet location, the fleet name will be displayed on both the Customer Information and Unit Information screens of estimates for that unit. You will be able to lookup estimates based on Fleet Name the units in those estimates are assigned to.

 

Detail Instructions

This screen contains detail information about a fleet and fleet locations. You may enter as many fleet locations as you need for each fleet. There are five actions you can take on this screen.

  1. Click on the Delete button to remove the Fleet displayed on the screen. You will be prompted to confirm you want to delete the record. Be careful, this will remove this fleet from your database, including all fleet locations. Once you have deleted a fleet, you will no longer be able to search for estimates for that fleet.
  2. Click on the Clear button to clear all fields on the screen. This will let you enter another fleet if you are adding information for multiple fleets.
  3. Click on the Save button to save all information on the screen. Be sure to save before clearing if you want to enter information for another fleet. Clicking on the Save button will also enable the Add Location button - you can't add location information until you have saved your fleet record.
  4. Leave the screen by clicking on the AdjustRite logo or some other function from one of the drop down menus. The current screen of fleet information will not be saved if you do this without first clicking on the Save button.
  5. Enter or change information on the screen (this includes maintaining fleet locations).

To enter detail information on this screen you will move through the information boxes by pressing the Tab key when you are finished typing in each box. You can also click inside any box with your mouse to move directly to that box.

 

  • Fleet Name: Enter the name of this fleet. This field is required, so you may not save the information on this screen until something has been entered in the Fleet Name field.
  • Fleet Number: Optional fleet number field. The system does not prevent you from entering duplicate fleet numbers, so be careful if you do not want to have two fleets with the same number.
  • Address: Enter the street address. There is a single address line, so if this fleet has a suite number enter it on this line also.
  • City, State(or province) and Postal Code:
    • Enter the name of the city for this fleet
    • Click on the down arrow and then click on the state or Canadian province.
    • Enter the postal (zip)code.
  • Business Phone: Enter the area code, prefix and phone number. The program will automatically move from the first box to the second after you enter the first three digits and then again after the next three digits. Press Tab after entering the last four digits to move to the Cell Phone field.
  • Cell Phone: Enter the cell phone number using the same rules as for the business phone.
  • Fax: Enter the fax number using the same rules as for the business phone.
  • Fleet Note: This does not print on estimates, but is for your own notes.
  • Tax Exempt #: This is the fleets federal tax exemption number.

This screen contains two additional types of information for each fleet. You can maintain location information and access Related information for each fleet.

  • Locations: This grid will be empty when you first create a fleet, but will list all locations for the fleet after they have been entered. You can change location information by double clicking on a location in this grid to pup up the Location Maintenance window.
    • Remove Location will delete the selected fleet location. Click on a location in the grid to select it, and then click on the Remove Location button to remove it. A warning box will pup up to make sure you want to remove the location.
    • Add Location will pup up the Location Maintenance window and let you add information for a new location. Click on the Save button on the Location Maintenance window to save the information entered.
    • Related Information: This section provides quick access to units and estimates.
      • Add Unit: This button will take you to the Unit Information screen and let you add a unit for this fleet. The unit will automatically be assigned to the fleet used to access this screen. You should not add a unit until you have created at least one fleet location, as each unit assigned to a fleet needs to be assigned to a specific fleet location.
      • View Units: This button will take you to the Unit Search screen and will list all the units for that fleet.
