Unit Maintenance

Summary

All information for stored units can be added, changed and deleted from this screen.

You get to this screen by:

  • Clicking on the Add Unit buttons from Customer Maintenance or Fleet Maintenance
  • Double clicking on a unit from the Unit Search screen

 

Detail Instructions

You may enter a variety of information about a unit on the Unit maintenance screen. All units must either have the Make/Model/Year selected or Custom Make/Model/Year entered . You will not be able to save this unit unless those fields are filled in. You should enter a custom make and custom model if this unit is not a vehicle contained in the AdjustRite database.

All other information on the screen is optional. Fill in those fields that are important to you and your company for this vehicle on this estimate.

  • Unit #: Enter the unit number for this vehicle. You may enter any combination of letters, numbers and symbols.
  • AdjustRite Part List: You may select an AdjustRite part list in this section. This is the prefered method when this vehicle is available.
    • Make: Click on the 'down' arrow and select the make for this unit. If you don't see the make for this unit, you will need to enter a Custom Make in the field to the right. All units must either have a Make or a Custom Make.
    • Model: Select the Model for this unit. You will only see the units that are valid for the Make selected. If you don't see the model for this unit, you will need to enter a Custom Model in the field to the right.
    • Year: Click on the 'down' arrow on this box to pick the year for this unit.
    • Style: Select the Style (if any are listed) for this unit. This is a drop down list, simlar to the make and model. You may not type directly in this field, but can pick items from the list when they are available for a year/make/model.
  • Custom Part List: You may click on the Search button and then select an existing Custom Part List, or Clear the currently selected list. You should use this feature when there is no AdjustRite part list for this vehicle and you have already created an appropriate custom list.
  • Enter Custom Names: Text entered here will Print on the estimate report in place of the Make, Model, Year and Style selected in the AdjustRite Part List area. This can be handy when you want something different than the standard description to print for a unit.
    • Custom Make: Text entered here will print on any reports, even if a Make was selected in the area above.
    • Custom Model: Text entered here will print on any reports, even if a Model was selected in the area above.
    • Custom Year: Text entered here will print on any reports, even if a Year was selected in the area above.
    • Custom Style: Text entered here will print on any reports, even if a Style was selected in the area above.
  • Customer: This displays the Customer Name from the Customer Information screen. You may not change this field. There is a View button beside the name of the customer this unit is assigned to. Clicking on this button will take you to the Customer maintenance screen.
  • Location ID: You may assign a unit to a fleet. Click on the Search button beside the Location ID field to select the fleet location to which you are assigning this unit. Once a Location ID is selected the Fleet field will also display. You can view the detail of the fleet location by clicking on the View button beside the Location ID (the View button will appear where the Search button was before you selected the fleet location). Click on the Clear button if you want to unassign the unit from the fleet location. When you clear the fleet location the fleet will be cleared as well.
  • Fleet: This field will only display only if you have selected the Location ID above. This field displays the name of the fleet to which the fleet Location_ID belongs. Clicking on the View button beside the fleet will take you to the Fleet_Management screen, where you can perform any Fleet management functions. This includes adding and viewing units. The only way to clear the Fleet assignment for a unit is to Clear the Location_ID above the Fleet information.
  • Unit #: Enter the unit number of this unit. You may search using this field under the following circumstances.
    • Creating a new estimate you can click on the Choose Existing Vehicle link and select an existing vehicle, rather than entering vehicle information manually. Existing vehicles can be searched using Unit #.
    • Searching for an estimate on the Advanced Search screen.
    • Searching for a Customer on the Customer Search screen. Multiple customers may potentially us the same unit number, so don't be surprised if you get more than one customer listed for the same unit number.
    • Searching for a Fleet on the Fleet Search screen. Of course, no fleets will show up in the search if the particular unit you are searching for is not assigned to fleet.
    • Searching for a unit on the Unit Search screen.
  • VIN: Enter the VIN number for this unit. This field does not force the entry of the entire number, so you may enter just the last 6 or 7 digits if that is the practice in your facility.
  • License & State: Enter the lincense number for the unit and select the state in which it is licensed. You may select the state, after clicking on the state field by either pressing the first letter of the state until you see the state you want, or by clicking on the 'down' arrow and then scrolling down until you see the state you want and then clicking on it.
  • Miles: Enter the number of miles on the odometer. You can enter "broken" here if the odometer is not working.
  • Color/Paint Option: This will default to "Single Color". You only need to enter something here if you want the system to automatically add hours for Two Stage or Three Stage paint. For example, if the truck has base plus clear coat you should select "TwoStage" from the drop down list. This will cause the Logic feature of AdjustRite to automatically add a line in the calculated values section of the estimate for additional paint hours. Enter the color of the truck in the second field. You can enter additional color information in the note field for such situations as multiple colors.
  • Paint Code: Enter the paint code here for the color you entered above.
  • Box/Tank Make: Enter the Make of the Box or Tank for the truck
  • Box/Tank #: Enter the numer of the Box or Tank.
  • Engine / Horse Power: Enter the horsepower for your engine in the first field, then select the manufacturer of your engine from the dropdown list. If you do not see the manufacturer of your engine in this list and want to save it, you may enter that information in the Custom Engine field.
  • Custom Engine: Manually enter the engine manufacturer here if you don't see your engine in the drop down list above.
  • Transmission: Enter the make of transmission and then select the number of speeds.
  • Production Date: The production date for the unit.
  • Note: Enter any notes associated with this unit. You will be allowed to enter more text then will fit in the text box, but can not enter more than 255 characters. You can use the arrow keys to move left and right within this box to read any text that extends past the end.
